Most property enquiries in India now start with one WhatsApp message: “Hi, is the 2 BHK still available?” If nobody answers for two hours because you are showing a flat, that buyer has already messaged three other brokers. A WhatsApp front door answers that first message in seconds, day and night, and books site visits while you are out. In OGIR you can set one up in about 30 minutes.
What a front door is
A front door is the first message every new customer gets: a short greeting and a menu of choices. The customer taps what they want, and the chat takes them straight to it, whether that is a price list, a site-visit booking or a real person.
In OGIR it is a Flow: a set of steps you write once, with the exact words you choose. It is not an AI guessing answers. Every customer gets the same clear, correct reply, and anything the menu cannot handle goes to your team in the Inbox.
The menu every broker needs
WhatsApp allows only three tap buttons under a message, which is too few for a property office. So the front door uses a list instead: the customer taps one button, a list opens, and they pick a row. A list can hold up to 10 rows, and each row title can be up to 24 characters.
OGIR’s Real estate pack gives you this list ready made, with eight rows:
| Row the customer taps | What happens next |
|---|---|
| Find a property | Asks buy or rent, then locality, budget and size, and hands a ready lead to your team with every answer saved. |
| Book a site visit | Asks which project, which day (Today, Tomorrow, This weekend), what time and their name. |
| Project brochure | Sends the brochure, price list and floor plans for the project they ask about. |
| Sell / rent out | Takes a listing from an owner: locality, type, expected price and photos. |
| After my visit | Asks how the visit went and guides the buyer to the right next step. |
| Home loan help | Answers the loan question every buyer asks and takes an eligibility request. |
| New launches | Answers people who reply to your new-launch or price-drop Broadcast. |
| Talk to a human | Hands the chat to your team straight away. |
Keep “Talk to a human” on the menu, always. Some buyers want a person from the first message, and a menu with no way out loses them. When a customer taps it, the Bot steps back for that chat and the conversation waits in your Inbox for the next free agent.
Building it with the Real estate pack
Once your WhatsApp number is connected to OGIR, the whole menu installs in one go:
- Open Flows from the left menu and press + New flow.
- Choose Start from a template, then tap the Real estate chip.
- On the 🏠 Real estate pack card, leave the box ticked that puts the seven flows in a folder named “Real estate pack”, and press Install the Real estate pack.
The pack adds the greeting as your Main flow, which becomes the first message of every new chat, and the seven flows in their own folder. Any customer can type MENU later to see the list again.
Now make it yours. Every place where your own details belong is marked [Edit me]:
- The greeting. Put your office name and one line about what you do, for example “Welcome to [your office name], flats and plots in Noida and Greater Noida.”
- Project names and areas. Replace the examples with the projects you actually sell.
- Your office address and location pin. A Location step can send your office as a map pin, so buyers can open it in Maps.
- The menu words. If your buyers say “flats” rather than “property”, change the row. Stay within 24 characters.
Before you switch anything on for real customers, press ▶ Test this flow at the top of the Flows page. It plays the chat exactly as a customer would see it, so you can tap every row and read every reply without sending a single WhatsApp message.
Sending the brochure as a Quick reply
The same brochure gets asked for twenty times a week. Save it once as a Quick reply and anyone on your team can send it in two seconds:
- Go to Settings → Quick replies and press Add quick reply.
- Give it a short shortcut, such as
/brochure, and a line of text, for example “Here is the brochure for {{first_name}}. Tell me which floor plan you like.” - Under Attachment, press Attach photo or PDF and pick the brochure file, then Save.
In the Inbox, any agent types / in the reply box, picks the brochure, and it goes out with the customer’s name filled in. A PDF can be up to 100 MB and a JPG or PNG photo up to 5 MB, which are WhatsApp’s own limits. A 10 to 20 MB brochure opens faster on a buyer’s phone than a 90 MB one, so compress large files if you can.
Follow-ups that stop when the lead replies
Many buyers tap “Book a site visit”, answer the first question, and then disappear. A Follow-up brings them back without anyone remembering to chase them.
- In the Book a site visit flow, open the step that asks “Which day works for you?” and set Tag when reached to a new tag, for example Visit asked. On the last step, the one that says the visit request is in, set the tag Visit booked.
- Open Follow-ups and press + New follow-up. Choose the trigger Tag is added and pick Visit asked.
- Keep Stop when the lead replies on, and under Also stop when add the tag Visit booked, so people who finished booking are never chased.
- Add three steps: wait 1 day and send a template, wait 2 more days and send another, wait 4 more days and send a last one. That is day 1, day 3 and day 7.
- Press Switch on.
Why templates? After 24 hours without a message from the customer, WhatsApp only lets a business send approved Templates. A Follow-up template is charged at Meta’s rate for its category. The moment the buyer answers, the Follow-up stops by itself and the chat is back in your Inbox.
What the first week looks like
- Day 1. Switch the front door on. Send “hi” to your own number from a personal phone and check the greeting, the list and one full site-visit booking.
- Days 2 and 3. Watch the Inbox. Use the filters (Open, Waiting on them, Any tag, Unread) to see which chats need a person. Note any question the menu did not answer.
- Day 4. Adjust the words. If people keep typing “rate” instead of tapping, change the row to “Price list”. Add the missing answers to the right flow.
- Day 5. Tag hot leads in Contacts (for example Hot or Budget 1 Cr+), so the whole team can see who to call first.
- Day 7. On the Flows page, open Analytics. Each step shows how many people reached it and each choice shows how many tapped it. Move the most tapped rows to the top of the list.
One honest line on cost: the menu itself is part of your OGIR plan, and WhatsApp’s charges are Meta’s rates passed on at cost. Replies inside the 24-hour window are free for the first 1,000 a month on each number from 1 October 2026, then ₹0.115 each, plus 18% GST. Frequently asked questions
Can I keep using the WhatsApp Business app on my phone?
Yes. With coexistence, the same number works in the WhatsApp Business app on your phone and in OGIR at the same time, and messages you send from the app stay free.
Will customers know it is a bot?
They will see a menu, and most people prefer a quick menu to waiting. Write the greeting in your own voice and keep “Talk to a human” on the list, so nobody ever feels stuck with a machine.
What if someone types instead of tapping?
Each flow also opens on its own words. Typing “site visit”, “brochure”, “loan” or “sell” goes straight to the matching flow. Anything else gets the Fallback reply, which offers the menu again and a way to reach a person.
Can two agents share the same number?
Yes. The whole team answers from one number in the shared Inbox. You can assign each chat to a person, and the “Anyone” filter shows who owns what.
How do I turn the Bot off for one chat?
Open the chat in the Inbox and tap the Bot: On switch so it reads Bot: Off. The menu stops for that customer only, and everyone else still gets it. After a hand-over, the Bot comes back on by itself after the time you choose in Settings → Inbox rules.
